Forward Facilities Group Pty Ltd (ABN 91 689 133 622, ACN 689 133 622) (“FFG”, “we”, “us”) provides facilities and property maintenance services in Australia. This policy explains how we handle personal information under the Privacy Act 1988 (Cth).
1. Information we collect. Contact details you give us through our enquiry form, email or phone (name, phone number, email address and your message). Information about properties and work orders provided by our clients. For our field app, which is used only by our staff and contractors: name, work account details, job and work order details, photos taken on jobs, and device location while a job is in progress.
2. How we use it. To respond to enquiries, carry out and report on maintenance work, manage and route jobs, confirm attendance at job sites, support safety and emergency response, and meet our legal obligations. We do not sell personal information.
3. Location data. The field app records device location only while a job is started in the app, during working hours, and only after staff and contractors have been given written notice as required by the Workplace Surveillance Act 2005 (NSW). The app shows when location is being recorded. Location data is used only for the purposes in section 2.
4. Disclosure. We share information with our clients (such as head contractors and property managers) where needed for the work being carried out, and with service providers that host or support our systems. We do not disclose it for any other purpose unless required by law.
5. Security and retention. We take reasonable steps to protect personal information and keep it only as long as needed for the purposes above or as required by law.
6. Access, correction and complaints. You can ask to access or correct your personal information, or make a privacy complaint, by emailing hello@forwardfacilities.com.au or calling 02 9054 4460. If you are not satisfied with our response you may contact the Office of the Australian Information Commissioner.
